The revenue leak audit

Before we build anything, we find out what the problem is worth.

Four steps, start to finish, usually inside two weeks. You end up with a written document you own — a dollar figure on what's leaking out of your operation, where it's going, and what can be done about each piece. Whether you hire us after that is a separate decision.

The four phases

Discovery call

A structured working session with you — the owner. Not a demo, and nothing to sign. We ask how work reaches you, what happens to it after that, who touches it along the way, and where it tends to sit. We also ask which parts of the week you dread, because that's usually where the worst of the leakage hides. Near the end we get specific about volume: how many calls, how many quotes, how many close, what the average job is worth.

About an hour. In person at your shop or office if that's easier, or by phone if the week is tight. We record and transcribe the call so nothing gets lost — we'll ask you before we start.

The math

We map the operation end to end — first contact through scheduling, service, invoicing, and payment — and mark every place work stalls, gets typed twice, waits on you personally, or quietly falls off. Then we put a number on each one, calculated from your call volume, your quote records, your close rate, and your average job value. Not benchmarks and not projections. We look at the tools you already pay for, too. Some of what you need may already be sitting unused in software you own.

Done on our time, not yours. We may ask for a call log export or a list of quotes sent, and one or two follow-up questions.

Written findings and proposal

You get a document, written in plain English, that leads with what your operation is losing and where. It's yours to keep either way.

  • The total, annualized — what the gaps are costing you across a year, with the arithmetic shown so you can check it.
  • A breakdown by leak, so you can see which one is worth the most.
  • A map of how work moves through your business today, with the stall points marked.
  • Prioritized recommendations — most dollars recovered for the least disruption, first.
  • The specific things we'd build, described so you can picture them running.
  • What each one changes day to day, and what it takes to keep running.
  • What we'd leave alone. If a part of your operation works, we'll say so.

Review session

We sit down and go through the numbers together. You push back where we've got it wrong — you know your business, we've had a couple of weeks with it. If your close rate is really 45% and not 35%, we change it and the total moves. Then we decide together what's actually worth doing. Some of it you may want to handle in-house. Some of it you may decide can wait. That's a fine outcome.

Anything we agree to build gets scoped after this conversation, not before it.

Our commitment

We expect to find at least $25,000 a year you're currently leaving on the table.

Calculated from your own operating records, not an industry average and not a forecast of results. If we work through your business and can't find it, you don't pay for the audit — and you keep the written findings regardless.

What you need to have ready

Not much, and nothing you have to prepare in advance. It helps if you can speak to, or pull:

  • Where your work comes from — calls, referrals, repeat customers, online.
  • Roughly how many calls come in a week, and how many go unanswered.
  • How many quotes or estimates you send, and about what share turn into jobs.
  • What an average job is worth to you.
  • What software you're already paying for, even the parts nobody uses.
  • Who does what: you, your office person, your techs or providers.
  • The two or three things that go wrong most often.

Estimates are fine. We'll tighten them against your records during the math phase.

How long it takes

Your time

The discovery call, plus the review session. Two conversations, roughly an hour each.

Start to finish

Usually about two weeks from the discovery call to the review session, depending on how quickly we can both get on the calendar.

Disruption to the operation

None. We work around your schedule and nothing changes in the business during the audit.

What happens after

Three ways it can go, and all three are legitimate.

You take the findings and run with them yourself

The document is yours, numbers and all. If you'd rather have your office manager work through the list, do that. We'd rather you fix it than sit on it.

We build the pieces you picked

We scope the work you approved and build it, biggest recovery first. You see it working in your business before we move to the next item. Where a build needs specialists, we bring them in — you still deal with us.

Then we run it. Monitoring, fixes, and continued improvement as your season and your staff change. No handoff, no login and a manual.

Nothing, for now

If the timing is wrong or the numbers don't justify the work, we'll tell you. We're in Phoenix and we're not going anywhere. Call us when it's time.
